Should You Work With An Event Planner?

There are lots of different kinds of Event Planners and in this case I’m thinking about the traditional service provider who helps you book your meetings space, negotiate prices and create expectations with the staff.

When I prepared to host my first hotel conference I hired an Event Planner with a special relationship with the hotel I wanted to use. This cost me about $3000 but saved me far more than that in expenses at the hotel.

This was a special situation and it gave me a lot of peace as I maneuvered my way through a first time experience. I wouldn’t have wanted to face the contract phase or negotiating hospitality costs without her.

I was only able to work with this Magical Unicorn Event Planner twice. When I started to host events elsewhere I had to work with someone else. Sadly, my experiences with another Event Planner was far less than magical. The trust I put into a professional was often not lived up to. I learned a lot though and you can’t ever regret that!

If you’re a first time event host, I recommend at least consulting with an experienced Event Planner — take lots of notes and read every line of your contract!
